v17: Update
IMA v17 is now installed at all IMA customers and is already in full production mode at 23 locations. Very few problems were encountered during these conversions so far. Beyond the initial v17 update, new software development is continuing at a rapid pace, and program updates are being released almost daily. Below is a brief description of 4 important new software features that were recently released in addition to the major new modules described on page 2 and page 3 of this newsletter.

In order to keep your system up to date with all the latest releases, we are also developing a software distribution and notification system that will distribute new releases automatically to all our customers. However, until this system is fully implemented, please contact the IMA Helpdesk if you want a specific update for your system. The following are
recently released new features.

  1. On account applications: Until now the only way to apply a client’s “on account cash” was to use the legacy program C7 that automatically applied it to the oldest open invoices. We now have a GUI program under “Finance (Billing and Remittance)/UTILITIES” to perform this function more easily.
  1. Re-Open or Exclude an invoice: A new utility is now available to select and list all invoices that are either “not yet billed”, “in A/R” or “in denied status”. You may also elect the action to be taken to either “re-open” or “exclude” them. This can save you much time, for the alternative is to look up claims individually and correct them one at a time. This program is located under “Finance (Billing and Remittance)/UTILITIES”.
  1. MD client benefit year tracking: Up to now, the IMA system did not provide tracking of when each client approached or passed the Medicaid annual 40-visit maximum. The reason was that this was available elsewhere by either consulting EPACES and/or reading the IMA authorization report. However, as a new annual UT limit of 156 days per year for CDT services, was now introduced and this is not being monitored by EPACES, we decided to enhance your system so that both of these crucial annual limits are tracked within the IMA system. To this end, we added the Client Benefit Year field to the Billing Header and created the following new reports:
    • Benefit year report: This monitors which clients have data in the Benefit Year field.
    • UT visits report: This lists the Medicaid visits or days (for CDT) that have been used by this client within the current benefit year.
After you obtain the latest version of the client maintenance program on your system, you will need to add the client benefit year data to each of your clients before being able to take advantage of these reports. These reports are in “Reports and Finance Tracking/BILLING AND FINANCE REPORTS/Medicaid and Medicare.”
  1. Staff calendar enhancement: When an appointment is added and the date or time does not match the work schedule for this staff person, the system will now display an error message and also show the work schedule in effect that created the mismatch.

All General Webinars are an included benefit of your Monthly Service Agreement with IMA. Charges for these calls will be for the fees associated with the call center and the website host. In cases where there is no Contract in effect, the elapsed time will also be billed.
